IP Docketing Specialist

We are seeking an IP Docketing Specialist who has a minimum of 5 years of patent and trademark docketing experience.  The Docketing Specialist will be responsible for the thorough and accurate docketing of various domestic and international patent and trademark matters, thus advanced knowledge of patent and trademark law is necessary.

Responsibilities include but are not limited to:

  • Review, process, and route correspondence to appropriate recipients.
  • Docket correspondence deadlines and matter data, and clear completed actions from the docket database.
  • Correspond with clients regarding annuity deadlines and payments.
  • Conduct audits to ensure accuracy of data entered as instructed.
  • Ensure quality assurance protocols for data integrity (second eye review).
  • Input new client information and matters into the docketing system.
  • Assist in running daily reports.
  • Scan Office Actions and obtain cited references, then save in ProLaw document management software.
  • Other duties/projects assigned.

Candidate Requirements:

  • Client-focused work ethic.
  • 5+ years of patent and/or trademark prosecution docketing experience.
  • Working knowledge of docket database systems: CPI and ProLaw.
  • Ability to work independently and as a member of a team in a fast-paced environment. 
  • Excellent attention to detail, problem solving, editing and proofreading abilities.
  • Strong organizational skills, effective time management, and ability to multi-task.
  • Strong written and verbal communication skills, as you will communicate with attorneys, all levels of administrative staff, and contacts outside the Firm.
  • Proficient in Windows-based software, including Microsoft Word, Excel, and Outlook.
  • Willingness to learn new skills.

We are seeking a Docketing Assistant; the preferred candidate will have some IP docketing knowledge/experience, but we are willing to train someone with potential. 

Responsibilities include but are not limited to:

  • Assist others on the Docketing team with routing correspondence to appropriate recipients.
  • Process new and maintain updated client information, and assist with input of new matters into the docketing system.
  • Assist with docketing correspondence deadlines and matter data, and clear completed actions from the docket database as instructed by senior Docket team members.
  • Assist with client correspondence regarding annuity deadlines and payments.
  • Assist with running daily reports.
  • Other duties/projects assigned.

Candidate Requirements:

  • IP docketing experience preferred, but we are willing to train someone with potential.
  • Working knowledge of database systems is a plus (CPI and ProLaw in particular).
